Resort Automates Procurement Processes to Increase Efficiency & Serve Customers Better

Charlotte, NC— June 2, 2005 — Ever had to wait a day to receive supplies that you needed yesterday? For Boyne USA Resorts, waiting a day to receive the item wasn't the problem — getting the PO to the purchasing department is where the real bottleneck started.  Recently, Boyne USA Resorts implemented Verian Technologies' Purchase Manager, part of the ProcureIT suite of spend management applications, to automate its entire purchasing process and to reduce the purchasing cycle from days to minutes.

With multiple hotels and retail stores across the US and Canada, getting purchase orders from the sites to purchasing was more than a hassle — for some POs it was a journey. “In order to get us POs, some of our locations would either have to fax them or put them on a truck and send them over,” said Noah Meister, IT Coordinator at Boyne USA Resorts.  “It was not uncommon to have a PO get misplaced during the trip from a requester's desk to the purchasing department.”

“This caused more problems than just having a lot of paper flying around. Losing orders caused inefficiencies for our business units,” continues Meister. “Sometimes it would take a full 24-hours before anyone noticed the order was even missing. This caused delays in getting the supplies back to our business units — supplies such as light bulbs, coffee makers for guest rooms or vital parts and equipment for our chair lifts and golf carts. With ProcureIT, we can get the supplies to the resorts quicker, thus improving the service we provide our customers.”

Boyne Resort USA chose Verian Technologies' Purchase Manager after evaluating solutions from 15 vendors and then narrowed the field down to seven for intense review and proposals. Boyne chose Verian Technologies for several reasons including the fact that the ProcureIT application was completely web-based and allows them to pull information from the system for reports needed by the management team.

“Our managers are now able to see the big picture of what is flowing through the purchasing process,” continues Meister. “At any time they can see who is purchasing what items, from what vendors and at what cost. This has proven to be a valuable resource in negotiating better deals with suppliers.”
