How to make software implementations easy

 

  1. Document existing process. Prepare a current workflow diagram. Understand how your current process works and where the holes exist.

  2. Determine how the data will be collected. If you know in advance where all the data needs to come from and where it will collectively reside, then you shorten the implementation cycle. Be prepared upfront.

  3. Understand what reports will be needed. During the documentation process, make sure to closely evaluate what data you will need out of the new system. Figuring this out on the front-end will enable reports to be developed and implemented before the entire system implementation is completed.

  4. Gather SME’s for initial meeting. Include subject matter experts from each department in the initial project team. This provides a clear look into the current state of business from a departmental view and allows for feedback from all areas. Make sure to include end-users on this team as well. This group will become the in-house experts on the new technology.

  5. Establish interface requirements. If an interface is required, determine the specific requirements and establish initial test scripts.

  6. Determine workflow-testing group. This will allow you to visualize the workflow through the software. By doing this up front, you may identify potential “traffic-jams” as well as other areas that need to be improved before implementation of the software begins.
